The Meeting Notes Agent — Automatic Summaries After Every Call

How to build the workflow that converts every recorded meeting into a structured Notion page shared with all participants — automatically.

The average professional attends 10-15 meetings per week and spends 20 minutes after each one writing up notes. That is up to 5 hours per week on note-taking. The Meeting Notes Agent reduces this to zero — while producing more consistent, thorough summaries than most people write manually.

What the Agent Produces

Every recorded meeting automatically generates a structured Notion page containing: key decisions made (numbered list), action items with owners and deadlines (formatted as a table), open questions that were not resolved (bullet list), and suggested agenda items for the next meeting. The page is created automatically and the link is emailed to all meeting participants within minutes of the call ending.

Tools You Need

An Otter.ai or Fireflies.ai account for meeting recording and transcription (both have free tiers). A Zapier account (free tier sufficient). A ChatGPT or Claude API key. A Notion account (free). The whole setup takes 30-40 minutes.

Step 1: Set Up Your Recording Tool

Connect Otter.ai or Fireflies.ai to your calendar (Google Calendar or Outlook). Enable auto-join so the bot automatically joins and records every meeting. Run a test meeting to confirm transcription is working. Check the Zapier integration is available in your plan — both tools support Zapier on their free or starter tiers.

Step 2: Create the Zapier Workflow

Create a new Zap. Trigger: Otter.ai or Fireflies.ai — "New Transcript Ready." This fires automatically when a meeting transcript is complete. Action 1: ChatGPT or Claude — send the transcript with this prompt:

You are a professional meeting facilitator. Summarise the transcript into: Key Decisions (numbered list) | Action Items (table: Action | Owner | Deadline — write [TBD] if not mentioned) | Open Questions (bullets) | Next Meeting Agenda Suggestions (bullets). Use clear, professional language. Be concise — the summary should take under 3 minutes to read.

Step 3: Create the Notion Page

Add a Notion action: "Create Page." Set the page title to the meeting name and date (from the transcript metadata). Map the ChatGPT output to the page content. Structure the page with the four sections as Notion headings. The page is created automatically in your designated Notion database.

Step 4: Email the Summary

Add a Gmail action: "Send Email." Address it to the meeting participants (pulled from calendar event data if available, or add manually for recurring meetings). Subject: "Meeting Summary — [meeting name] — [date]." Body: the Notion page link plus the key decisions and action items sections pasted directly. Participants receive the summary within minutes of the call ending.
